Studio rental: Terms & Conditions

STUDIO RENTAL GUIDELINES

  • Payments: Full non-refundable rental fee must be paid at the time of booking. Subject to availability, additional studio time may be booked during your session.

  • Arrival Time: Arrive at your scheduled start time. A 20-minute setup period is included. All guests must be escorted to the studio.

  • Late Policy: Late arrivals will not be compensated with extra time. Scheduled time remains fixed regardless of lateness. You may be able to book additional time if our schedule allows for it. PaperCity Photography & Studio Rental does not provide refunds for no-shows or late arrivals. Your session begins and ends at the agreed-upon booking time, regardless of your arrival time. Any extensions must be requested in advance.

  • Damages: You are responsible for any damage, breakage, or loss of studio property. All items will be replaced at their current full replacement cost, based on the new retail price from Amazon, B&H, or the manufacturer at the time of the incident. Used or discounted prices will not be considered. The person who made the booking is fully responsible for these charges.

  • No Smoking/Drinking: Smoking, vaping, alcohol, and drugs are prohibited. Contact us prior to booking if smoke is needed as a prop.

  • Minors: All minors must be accompanied and supervised by a parent or legal guardian at all times. The renter is fully responsible for the behavior and safety of any minors present during the session.

  • Pets: Pets are allowed only with prior approval. If bringing a pet, you must bring a leash/crate and ensure the pet is always supervised. Consider bringing an additional person to handle and care for the pet while others are being photographed. You must also bring waste bags and clean up any accidents immediately. The person who booked the studio is responsible for any damages or additional cleaning fees caused by the pet.

  • Studio Cleanliness: The studio must be returned in the same condition in which it was provided. This includes disposing of trash, returning furniture and props to their original location, and removing all personal items. Additional cleaning fees may be charged if excessive cleaning is required.

  • Special Materials: Only paper confetti is allowed; no glitter. A $20 cleaning fee may be invoiced post-session.

  • Guests: The person renting the studio is responsible for sharing the Terms & Conditions with all parties involved in the booking.

  • Communication & Authorization Policy: PaperCity Photography & Studio Rentals will only communicate with, take instructions from, and make changes for the individual who completed the booking (“the Renter”). If a photographer books on behalf of a client, or a client books on behalf of a photographer, the person who booked is the only authorized point of contact.Requests made by guests, clients, photographers, assistants, or anyone who is not the Renter will not be accepted or honored.Any changes to the booking must come directly from the Renter in writing (text or email) to prevent misunderstandings or unauthorized alterations.

  • Social Media Credit (for content shot in our space): When posting images or video created in our studio, we kindly ask that you tag “PaperCity Photography & Studio Rentals” on Instagram or Facebook for credit.

  • Lighting: External Studio Lighting (Good System for Canon, Sony and Panasonic)available for additional fee. Studio lights are full-service and should not be adjusted without assistance. Feel free to ask us for help with personal lighting.

  • Lighting Add-On Policy: Selecting “Yes - I have selected the $20…” for the lighting add-on inside the intake form does NOT mean the lighting has been added to your rental or that it has been paid for. The lighting add-on must be selected directly on the Acuity booking calendar at the time of scheduling your session.Our standard studio rental is $60 per hour. The lighting add-on is an additional $20, which must be paid at checkout. If your total does not reflect the additional $20, the lighting add-on was not properly added. Lighting will only be provided if the add-on was selected and paid for through the booking system, not through the intake form. If add-on was not selected, the person who made the booking will be responsible for paying the extra $20 at the beginning of the studio rental session.

  • Backdrops: Black, white, and grey backdrops are included in each session. Additional colors may be available (see available colors here) and others may be purchased upon request for an additional $50, with a minimum of 2 weeks' notice required. Please contact us to see what other colors are available at the time of booking.

  • Add-On Areas: Use of perimeter, hallways, or other areas within the mills may incur additional fees.

  • Cancellations: No refunds. Sessions can be rescheduled up to 24 hours in advance at no cost. Rescheduling within 24 hours will result in forfeiture of fees collected.

  • Professional Courtesy: Obtain permission before booking additional photographers or models.

  • Removal Policy: PaperCity Photography & Studio Rentals reserves the right to refuse service, deny entry, or remove any person from the studio at any time for behavior that is unsafe, disrespectful, disruptive, or violates our policies. The renter (the person who booked) is responsible for ensuring that all guests, clients, photographers, and team members behave appropriately and follow studio rules. Failure to comply may result in immediate removal from the premises without refund, and the renter remains responsible for any damages or additional fees.

  • Prohibited Use: The studio may not be used for any illegal activity, hate content, or explicit adult content (this does not include boudoir sessions) that violates building policies or local laws. PaperCity Photography & Studio Rentals reserves the right to end any session immediately, without refund, if policies are violated.

  • Force Majeure: PaperCity Photography & Studio Rentals is not responsible for cancellations or interruptions caused by events beyond our control (including but not limited to severe weather, power outages, building emergencies, or illness). In such cases, sessions will be rescheduled to a mutually agreed date and time.

  • General Release of Liability: When you book with PaperCity Photography & Studio Rentals, you agree that PaperCity Photography & Studio Rentals, including all affiliates, are not responsible for any personal injuries or damage to personal equipment during your session.

By booking with PaperCity Photography & Studio Rentals, you and guests agree to adhere to these terms and conditions.
